I have a pile of designs to stitch this week. How do I plan them, and how long will they take?

Short answer: open your Library and press Planner. Add designs with the calendar button on a card or + plan beside a size. Give each one a size and a date, and tick it when it is done. Every row shows its stitch count and an estimated stitching time. The top line adds up everything still to stitch.

Before you start

The Planner is part of your Artapli Studio Library. It is saved to your Studio account, so your plan is there on any computer or phone where you sign in. Sign in first. You can plan designs you own in your Library.

Steps

1. Open the Planner

In your Library, press Planner in the row with the search box and Filters. The Planner opens on the right.

The small number on Planner counts the designs planned for today or earlier that are not done yet.

2. Add a design to your plan

There are two ways:

  • From a card: press the round calendar button on the card's photo (Add to plan). A message says Added to your plan: and the design's name. If you added the wrong one, press Undo in that message.

  • With the exact size: open the design's details (the pink Download button on its card). Under Sizes and embroidery details, each size has its stitches, thread colors and a + plan button. Press + plan beside the size you will stitch.

If you are already arranging designs in Mockup, you can add everything on your picture at once: open Save & Download and press Add to plan under Planner.

3. Choose the size

A design added from its card has no size yet. Its row says choose size. Press it and pick the size from the list. Each size in the list shows its estimated time, so you can see what a bigger size costs you before you choose.

Fonts: a font row is timed per letter. After you choose the size, a chip such as 1 letter appears. Press it and type the word you will stitch (for example Lily) or a number. The stitches and the time update for that many letters. Spaces do not count.

4. Give it a date

Press add date and pick the day in the date picker. Rows are sorted by date: the earliest day first, designs with no date at the end. A date that has already passed turns red until you tick the design done.

To change a size or a date later, press the chip again. To take a design off the plan, press the × on its row.

5. Add a note to the row

Under each design there is a line that says add a comment. Write what you need for that job, for example pink felt for the appliqué or the name to stitch. It saves by itself as you type.

6. Put the designs in your own order (optional)

Press the gear button at the top of the Planner. Two switches appear:

  • Order by hand – a handle (⋮) appears beside each row. Drag a row up or down. With the keyboard, focus the handle and use the arrow keys. While this is on, your own order is kept instead of the date order.
  • Show numbers – turns the 1, 2, 3 beside the rows on or off.

These two switches are remembered in this browser only. Your designs, sizes, dates and comments are saved to your account.

7. See the week in the calendar

Press Calendar. Days with planned designs have small dots. Below the month, the designs are grouped by day (Today, Tomorrow, then the dates), each day with its own total time, and No date last. Press a day to see only that day. Press it again, or press All dates, to see everything.

With Order by hand on, you can also drag a row by its handle onto another day to move it there.

8. Read the stitching time

Each row shows the stitches and an estimate, for example 12,541 stitches · ≈ 35 min. The top line adds up everything not yet done: 5 to stitch · ≈ 1 h 55 min.

How the estimate is made: the stitch count divided by your machine speed, plus a few minutes for each thread change. It is rounded up to the next 5 minutes. With the standard settings (500 stitches per minute, 1 minute per thread change), a 3,495-stitch heart with 3 colors is about 10 minutes. Hooping, cutting appliqué fabric and trimming are not included, so add your own time for those.

A row shows a time only when the stitch count is known. If a row has no time, choose its size (step 3).

9. Set your machine speed

The estimate uses your machine speed. To change it, open Your account (the person icon at the top right). Under Embroidery machine, set Machine speed (stitches per minute) (300 to 1500) and Minutes per thread change (0 to 10). It saves by itself and shows saved.

The Planner updates at once. At 800 stitches per minute, the same font row drops from about 40 to about 25 minutes:

Use the speed you really stitch at, not the top speed on the box. Many makers slow down for small lettering, metallic thread or caps.

10. Tick it when it is done

Tick the box beside the design's comment. The design moves to Done at the bottom of the list, and its time leaves the total. Open Done to see what you finished. Untick it to put it back on the plan.

Keep notes and labels on a design

Planner comments belong to one planned job. For things you want to remember about a design every time you stitch it, use Notes in the design's details (beside Add to collection). Write in My notes, for example the thread, stabilizer and hoop that worked. Type a word in new label and press Enter to make your own label, such as gifts. Your labels then appear above your Library, so you can show only the designs with that label. Notes and labels are private to your account.

Adding your own photos to notes is not available yet. It is coming later.

If something looks wrong

  • I don't see Planner: sign in to your Studio account. The Planner belongs to your Library, and the button sits beside Filters.
  • There is no calendar button on a card: it appears on designs you own.
  • I can't see + plan beside the sizes: on some wide screens it can be hidden at the right edge of the details. Use the calendar button on the card instead, then press choose size in the Planner. The result is the same.
  • A row has no time: it has no size yet, so press choose size. If the size list says Sizes could not load. Please try again., close the Planner and open it again.
  • The time looks too long or too short: check Machine speed and Minutes per thread change in Your account. For a font, check the letters chip: the time is for that many letters.
  • The size in the Planner looks slightly different from the details: the Planner shows the size name of the file (for example 4in). The details also show the measured size (for example 3.8 × 3.4 in). It is the same file.
  • I can't drag rows: turn on Order by hand with the gear button first.
  • "This plan changed in another window. It is up to date now.": you changed the plan in another tab or on another device. The Planner reloaded the newest version, and anything you were typing in a comment is kept.
  • "That did not save. Please try again.": check your connection and repeat the last change.
  • "This design is not in your library any more.": the design in that row is no longer in your Library. Remove the row with ×.

Where do I find the Planner?

In your Library, beside Filters at the top. Press Planner and it opens on the right.

How do I put a design on my list?

How long will my designs take to stitch?

My machine is faster (or slower). Can I change the speed?

Yes. Open Your account → Embroidery machine and set Machine speed (stitches per minute) and Minutes per thread change. All the times update at once.

How is a font timed?

Per letter. Press the letters chip on the row (for example 1 letter) and type the word you will stitch, or a number. The time is for that many letters.

Can I put the designs in my own order?

Yes. Press the gear button in the Planner and turn on Order by hand, then drag the ⋮ handles. Without it, the list is sorted by date.

Will my plan be on my phone too?

Yes. Designs, sizes, dates, comments and done ticks are saved to your Studio account. Only the two display switches (Show numbers, Order by hand) are kept per browser.

Can I add a photo of my finished piece?

Not yet. Photos on notes are coming later. You can write a comment on each planned row and keep notes and labels on each design (Notes in the design's details).
